THE JOB / Employee Engagement Manager

Octagon’s Human Resources team is growing. We’re looking for an Employee Engagement Manager who wants to join an HR team that is committed to providing programs that align with our core mission, values and business objectives.  You will play an integral role collaborating with and providing support to the HR leads on an array of HR initiatives.  In this position, you will provide expertise and lead the tactical management of employee relations, benefits, onboarding/orientation, employee assistance programs/wellness, and learning and development logistics. 

WHO WE’RE LOOKING FOR 

  • A bachelor's degree and/or 5+ years' HR experience. Ideally within a marketing/agency or professional services setting. You get the pace, appreciate the fluidity and understand the complexity of how the business affects HR programs.
  • You will be a leader of programs.
    • This means we expect you to know and have experience with the typical HR stuff:
      • Employment laws and compliance in areas like ADA, FLSA and EEO.
      • Proven success in managing payroll actions and benefit programs, including FMLA and other leave programs.
    • And, we want you to have all the other bells and whistles:
      • Proven planning, organization and leadership skills.
      • The ability to motivate and work with and through others to achieve desired results.
      • Keen analytical, assessment and project management/program execution skills.
      • Experience with PeopleSoft (HRIS) preferred, and top notch technology aptitude - Microsoft Office Suite (including PowerPoint).

THE WORK YOU’LL DO  

  • Handling employee relations issues, and provide recommendations for resolutions.
    • Coach managers and employees through interpersonal conflict, performance challenges, etc. to place of resolution and at times termination. o Identify and assign training based on development areas
    • Troubleshoot unemployment claim issues with Payroll, Equifax, and former employees.
  • Effectively communicate policies to employee population. Manage IPG and IPG DXTRA  (parent company) compliance initiatives (e.g., Code of Conduct, on-line compliance trainings, etc.).
  • Manage the new hire onboarding and orientation program.
    • Oversee the employee orientation process to include scheduling, tracking, and coordinating with presenters with the goal of welcoming and educating new hires.
  • Implementation and completion of the employee 90-Day-Checklist
  • Mange the Onboarding process: 1st day schedules and welcome emails to new hire, welcome announcements to the company.
  • Background check review and vetting in partnership with TA
  • Conduct Benefits Orientation on a monthly and as needed basis
  • Assist employees with Benefits and management of our Health and Wellness Initiatives to include:
    • Communication of benefit information to our employees and primary ownership of our Wellness program.
    • Manage the annual open enrolment
    • Resolve employee claims issues, process Evidence of Insurability forms, employee benefit inquires
    • Manage employee leave requests: counsel employee on eligibility for leave, guide employee through the leave process, coordinate with payroll throughout the LOA, and troubleshoot issues with The Hartford as they arise.
    • Manage Workers Compensations claims and reporting, including the annual OSHA 300A report and posting requirements.
    • Manage the Sports Business Journal subscriptions
    • Manage the Tuition Reimbursement Program
    • Partner with Head of HR on specific off-boarding responsibilities:
    • Work with Head of HR on off-boarding processes: hold follow up meeting with employee, separation agreement preparation and review with employee, hold check-ins with impacted employee prior to last day.
    • Conduct exit interviews; assess data and trends to provide insight and strategic recommendations that will affect positive changes to our business objectives and culture.
  • Manage the employee relocation process including coordination with the manager/client and completion of related paperwork.
  • Collaborate with other HR leaders to develop L&D initiatives; ranging from creating and maintaining career progression guides to the coaching and project management of managers working to develop their employees. Including but not limited to creation, updating, and accountability for the skillset by level documents.
  • Day-to-day management of the Office Services team
  • Perform other duties as required and assigned. No job is too small or too big.
  • Manage the cataloguing of new and existing roles and their FLSA designations.
  • Align new roles into our organization structure and assign job codes and titles.
