Senior Account Manager (Ticketing & Hospitality)

Octagon is looking for an experienced Senior Account Manager for Ticketing and Hospitality to join a dynamic team until end of December 2022.  The role encompasses working with global clients on major events such as the 2022 UEFA Champions League Final and 2022 FIFA World Cup. Candidates must have relevant experience including creation and delivery of ticketing programmes for major brands or rights holders.

The successful candidate will be responsible for all tangible assets relating to our clients’ FIFA and UEFA Champions League sponsorships – including but not limited to management of guest programmes, robust online systems, tickets, hospitality and parking passes as well as accreditations for both events taking in place in St Petersburg, Russia and Doha, Qatar.

Key Responsibilities for 2022 FIFA World Cup Ticketing

  • The delivery of large ticketing programmes from strategic ordering, allocation through to onsite delivery and reporting
  • Responsible for the financials management of the ticketing operational budget. Including preparing briefs and sourcing multiple quotes for 3rd party services, creation of payment schedules and deadlines, looking for cost effective measures and always working in line with procurement procedures
  • Drive strategic and tactical best practice in asset management to ensure that our processes, systems and people deliver excellence for our clients
  • Creation and ongoing management of our bespoke digital platforms including an online portal to manage all our clients tangible assets, production of an event time app and online tools for guest check in and ticket collection
  • Collation and management of all event time accreditation requirements
  • Creation and implementation of our game plan for the new FIFA Fan ID initiative, ensuring all our guests have the right access to the stadiums on match day
  • Manage junior members of the team including facilitating regular check-ins, team meetings and mechanisms for tracking their progress and performance, as relates to team goals and strategy
  • Be the lead point of contact with stakeholders in regards to any tangible assets related enquiries
  • Strong stakeholder management both internally and with third party suppliers

Key Responsibilities for 2022 UEFA Champions League Final Hospitality

  • Working with the account team to plan and manage all elements of the operational delivery of the project
  • Plan and manage onsite hospitality programmes for B2B and B2C guests through bump in, event time and bump out establishing effective operational and communication systems
  • Effectively manage changes to the project throughout planning and on-site phases
  • Preparing briefs and sourcing multiple quotes for 3rd party services, creation of payment schedules and deadlines, looking for cost effective measures and always working in line with procurement procedures
  • Develop staffing brief and select a vendor to recruit a temporary personnel to run hospitality and activation programs during the event
  • Create transport brief and appoint a travel company that will provide the transport for client’s hospitality programs
  • Support account team in sourcing guest accommodation and other event-specific venues for the period of the program
  • Develop and manage relationships with the UEFA Ticketing and Hospitality teams in consultation with the Account Director
  • Manage guest communication requirements prior the event
  • Establish specific staff training needs for project including for the client team working at the venue
  • Develop training / operational manuals to ensure team has thorough knowledge of all procedures
  • Responsible for conducting supplier risk assessments and ensuring all venues and services are compliant with Health and Safety legislation
  • Assist with post event reconciliation and post tournament reporting

Skills & Experience Required

  • Relevant experience within sports & entertainment marketing working with large global sponsors or rights holders
  • Ability to build strong relationships with senior stakeholders obtaining their absolute trust and confidence
  • Proven experience of managing large logistically complex ticketing programmes within a fast paced, often sleep deprived, major events environment
  • Experience in briefing and managing bespoke online data base systems
  • Proven experience of managing large logistically complex hospitality programmes within a fast paced, often sleep deprived, major events environment
  • Experience in briefing, negotiating and managing 3rd party suppliers
  • Highly proficient in excel including the creation of data reports including asset allocation and usage
  • Excellent project management skills and a commitment to continuous improvement
  • Willing and able to travel when required including internationally for extended periods of time during the event
